What are your subscriptions actually costing you?

Most wellness practices don't know. Not because they're careless, but because the tools arrived one at a time: a scheduler when the phone got annoying, an email tool when the newsletter started, a forms app when intake got messy. Each was $25 a month and obviously worth it.

Six of those is $150 a month before you've paid for hosting or your clinical software, and at least two of them overlap.

One thing this won't do

It won't tell you to drop clinical records. You'll need somewhere for notes: a $20/mo notes app, or your existing clinical software if you need more. Tick whichever applies.

How to read this. The amounts are typical monthly prices for a solo or small wellness business — starting points, not quotes, so use your own invoices. The $190 Tech plan covers your website, hosting, CRM, booking, reminders, follow-up and support. Setup from $2,000 isn't included here, so the monthly comparison stays honest. If the difference comes out small, the honest answer is that consolidating buys you time rather than money.

How to read it

How to read your number

Start from your bank statement

Not from memory. Tick every tool you're actually billed for, including annual ones, then divide those by twelve.

Use your real amounts

The defaults are typical prices for a solo or small practice, not quotes. Vendors move their pricing constantly.

Read the two totals

What you pay now, and what you'd pay with the clinical software kept and everything else consolidated. If the gap is small, the honest answer is to stay put, and the calculator says so.

Why it creeps

Why practice stacks get expensive quietly

Software costs creep for a structural reason: every tool you add is individually cheap and collectively expensive, and nothing in the process ever prompts you to review the whole thing.

The tell isn't the total. It's how many times a week you move the same information by hand.

There's a second cost that never appears on an invoice. Every tool that doesn't talk to the next one becomes a job for you. An enquiry arrives in one place, gets copied into another, reminded from a third. Ten minutes here, ten minutes there. For most practitioners the time cost outgrows the money cost well before they notice it.

What it replaces

What consolidating actually replaces

  • The scheduler
  • The email marketing tool
  • SMS reminders
  • Forms and intake
  • The automation connector
  • The landing page builder
  • Review requests
  • Website chat

It does not replace rebate claiming, an audit trail or treatment plans. If all you need is somewhere for notes, our Clinic notes option covers that instead. We've written the split out in full: what goes in GoHighLevel vs Cliniko, Halaxy and Practice Better.

Where the $190 goes

$190per month, Tech tier
WebsiteHosting, domain, SSL, and the site itself
CRMBooking, reminders, follow-up, reviews, pipelines
SupportChanges included. 48-hour response, business days.

Setup from $2,000, which the calculator deliberately leaves out so the monthly comparison stays honest. Whether it's a saving depends entirely on what you ticked, which is why it tells you when it isn't.

Frequently asked questions

How much does software cost a solo wellness practice?

Most solo practitioners we see pay between $150 and $350 a month across everything: clinical software, hosting, booking, email marketing, forms and an automation connector. The clinical software is usually the smallest part of it.

Should I replace Cliniko or Halaxy to save money?

Only if you just need somewhere for notes: that's what our $20/mo Clinic notes option is for. If you need rebate claiming, an audit trail or treatment plans, keep Cliniko or Halaxy; moving that into a general CRM creates a compliance problem to save a small amount.

Does this calculator save my numbers?

It remembers them in your own browser so you can come back to them. Nothing is sent to us and nothing leaves your device.

Are the default prices accurate?

They're typical Australian monthly prices for a solo or small practice, meant as starting points. Vendors change plans and pricing regularly, so use your own invoices for a number you can act on.

What if consolidating doesn't save me money?

Then don't do it for the money, and the calculator will say so. The remaining argument is the time you get back and the follow-up that runs without you, and that's only worth paying for if the admin is genuinely costing you.

Not sure what to do with that number?
